Job Summary:

The Customer Service Representative is responsible for order entry and all subsequent order related transactions in SAP and customer communications including but not limited to status and documentation requests. Each customer service representative will have a set group of accounts to work with, but will be asked to support all customers as required based on business need.


  • Manage key customer agreements for the region which includes quotes, order booking, status updates and shipping.
  • Book new orders when received by inside sales
  • Work with the planners to respond to customer expedite/status requests
  • Monitor plant backlog and request updates on past due orders. Update customers as required in case of delays.
  • Work with the quality department to respond to customer documentation needs.
  • Create inspection notifications and cargo readiness notification and shipping documents as required per customer contract documents.
  • Arrange for inspection or collection when items are ready.
  • Create goods receipt and goods issue in SAP as required to support receiving and movement of goods.
  • Create cross company stock transport orders and supplier purchase orders as needed to manage the demand for booked sales orders.
  • Maintain proof of revenue recognition for each shipment per contract delivery requirements.
  • Manage the customer documents required for orders in the region, MTR’s, C of C, drawings, etc.
  • Manage OS&D’s post order, document & escalate customer complaints
  • Monitor outstanding EWR’s and work with engineering/sales to resolve
  • Process credits as required & order acknowledgements
  • Ensure requests from customers in the region and outside sales are handled timely, professionally and exceed customers’ expectations.


  • Minimum Bachelor’s Degree in business or engineering.
  • 2+ years’ experience preferably in the energy industry and/or in the valve or actuator industry or in sales will be a plus.
  • Excellent communication skills are required.
  • Computer literate: Microsoft Office, CRM and SAP.
  • Have working rights in Malaysia and willing to work in Kuala Lumpur.
  • Proficient in Malay and English written and spoken languages.
