HR Operations Analyst

The HR Operations Analyst is responsible for administering Human Resources (HR) actions using established transaction procedures, guidelines and compliance regulations. This may include HR data reporting and maintenance in SAP. Additionally, is responsible for serving as first point of contact for employees and Human Resources (HR) staff on queries regarding compensation, benefits, HR policies, procedures and HR information systems. The HR Operations Analyst resolves requests and provide timely turnaround for all queries. This person ensures activities comply with company procedures, employment rules, manuals, policies and country legislation.

Roles and Responsibilities:

  • Receive employee queries via email, web interface and telephone; identify sensitive queries and potential risk cases, and address as per the Escalation Management process. Categorize, validate and monitor employee queries to closure.
  • Use HR knowledge management tools to respond with resolutions within established service level agreements and key performance indicators (KPIs). Escalate to subject matter experts as required. Keep the employee informed on the progress of the query. 
  • Perform SAP actions and associated transactions such as hiring, promotion, transfer, suspension, termination, payments and deductions, as required. 
  • Ensure SAP actions and transactions are performed per ticket request within the established key performance indicator (KPI). 
  • Coordinates with Payroll Analysts to ensure employee data impacting payroll, such as variable compensation data with associated calculations or deductions, is efficiently and accurately captured and maintained in the payroll system within established deadlines. 
  • Perform manual salary, bonus and time data adjustment updates on time with appropriate approvals when required. 
  • Act as gate keeper to ensure that SAP actions, transactions, exemptions and other documentation complies with internal procedures and policies regarding master data updates to the system before processing. 
  • Perform buddy and data quality checks regularly to maintain data quality and integrity in the HR master database. 
  • Follow the escalation matrix for potential incidents, and report HR service quality events in QUEST-HR. 
  • Generate employment documents accurately and on time.
  • Comply with the Data Privacy and Protection Guidelines and relevant legislation. 
  • Identify and participate in continuous improvement initiatives. 
  • Participate in service delivery meetings. 
  • Conduct research, analyze data, provide ad-hoc reports and present feedback on assigned projects as required. 
  • Perform user acceptance testing as per agreed timelines. 
  • Provide monthly reports with analysis on revision, submission and closure as required. 
  • Participate in HR open houses. 
  • Serve as champion for specific activities or subject matter expert on selected topics. 
  • Frequently review and update the documentation and follow up for review and sign-off. 
  • Prepare training material and deliver ad-hoc knowledge sharing sessions to HR Hub employees and location HR when required.
  • Identify training gaps impacting service quality based on the analysis of KPIs, daily activities and evaluation of the effectiveness of the current service levels. Escalate to manager for appropriate action.

Qualifications:

  • Bachelor’s in Business, Industrial Engineering 
  • 0-2 years of related experience
  • Advance Excel, SAP is a Plus
  • Service oriented capabilities, excellent in communications in English, any regional language will be a plus
