Job Summary

 

The successful candidate will join the Kuala Lumpur Legal Support Center (LSC) and, under the supervision of a Team Manager, will assist with corporate administration and governance of SLB’s legal entities in the Asia, Oceania, and Middle East regions.  The successful candidate will have a scope of work within the corporate entity management (CEM) pillar of the LSC.  This is typically a 6 to 8 month training position that can mature into a position as a full-time employee.

The role is based in Kuala Lumpur (Petaling Jaya), Malaysia. 

 

 

Essential Responsibilities & Duties:

 

The scope of work for this position covers management of our legal entities and branches in countries in which SLB operates, and working with internal functions (legal, tax, and finance) to ensure corporate structures and processes comply with local laws and regulations. Initial duties would include support to other CEM specialists on day-to-day corporate entity management tasks. The scope would be expected to expand to provide independent support to one or more countries, and may include some or all of the following:

  • Learn and understand the SLB corporate structure, and provide corporate advisory support to legal, tax, finance, and geographical operations teams on a smooth, timely, and efficient basis to ensure global policies, standards, and best practices are followed in relation to the creation, maintenance, operation, and closure of SLB corporate entities

  • Oversee proper usage of CEM platforms, including review and updating of a corporate database and matter management system

  • Communicate with legal and operations teams to ensure corporate documents are appropriately signed by directors, officers, and power of attorney holders, and that required documents are appropriately filed with local authorities

  • Keep director and officer appointments up-to-date for legal entities and branches in a territory of responsibility, and prepare documents and file changes where appropriate

  • Prepare board meeting minutes and shareholder and board resolutions, circulate them for signature, ensure they are filed as required by local laws, and keep up-to-date corporate records

  • Prepare, track, and revoke powers of attorney, as appropriate

  • Arrange for notarisation, legalisation, and translation of documents required locally

  • Assist with corporate audits to evaluate corporate health, and to ensure quality, consistency, accuracy, and completeness of corporate data

  • Ensure corporate activities are appropriately recorded in the matter management system

  • Support training programs for officers and directors, and provide training to users in the territory of responsibility with respect to the ticketing system used to request corporate documents and signatures.

 

 

Experience and Key Competencies:

 

  • Current enrolment towards, or completion of, a degree in business administration, commerce, communication, law, language (e.g., English), management, or strategy.

    • May also consider students or graduates with other relevant degrees, or who have prior experience as a corporate administrator or corporate secretary.

  • Written and spoken fluency in English is required.

  • An academic/professional level of Indonesian, Mandarin, Thai, or Vietnamese would be favourably considered.

  • Sense of customer service, responsiveness, and professionalism.

  • Continuous improvement mindset, and the ability to adapt and continually build on prior learnings and competencies.

  • Ability to proactively organise a heavy workload and demonstrate excellent analytical and organisational abilities.

  • Good interpersonal skills, attention to detail, and a practical approach to problem-solving.

  • Ability to communicate effectively and support effective partnerships with management, peers, and internal stakeholders across a variety of functions and disciplines.

  • Cultural sensitivity, ability to compromise and demonstrate diplomacy, ability to listen and adapt, and ability to work within a team.

  • Competency in Microsoft Office packages, particularly Word, Excel, and PowerPoint applications.
